Job Description We are looking for an office manager to help us run our restoration and maintenance company. Experience as an office manager in maintenance, restoration or service-based business is a big plus. Northbay Maintenance's mission is to be the 1 stop shop maintenance and restoration. We work closely with our clients to deliver customized, solution-orientated services to the problems they face in their day to day lives and obsess over how to create the best customer experience possible. Mission of this job: The mission for this role is to run and manage the administrative backend of the business. This includes supporting the financials, managing customer experience, HR/payroll, billing and scheduling. I am someone who: Is highly organized and can keep track of many different tasks on my plate at once, not letting anything slip through the cracks. Takes initiative. If I see a problem or potential I jump in and work on it without being told to. Doesn't have an issue negotiating payments with insurance companies and holding people accountable. Has a very high attention to detail. Bookkeeping: - Oversee budgets and monitor expenditures to ensure spend is in line with revenue. - AR Aging is kept within the allotted terms. -AP and vendor payments processed -Chase down payments from customers - Bookkeeping is updated daily. - Project costing; daily tracking of projects, costs, etc. Coordinating - Maximizing scheduling for operations and ground crews - Interface with clients and insurance companies - Oversight on daily objectives and drive customer satisfaction. - Work with human resources to increase communication and team building functions focused on employee retention. -Manage new projects and initiatives. HR -Strong knowledge of HR -Help recruit top team members to join the company -Run payroll Skills: 5+ years min. experience as an office manager Tech Savvy Excel Knowledge of CRM systems (we use Hubspot) Xactimate (+) Problem solving and solution Managing various projects and initiatives
