Job Description Description MUST BE BI-LINGUAL IN ENGLISH AND SPANISH SUMMARY: Assists Nelson Branch Business Units with temporary employee payroll, branch compliance audits, and worker---s compensation. DUTIES AND RESPONSIBILITIES: The following reflects management---s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons. --- Payroll Support (All Nelson Branch Business Unit Support); o Complete all weekly temporary employee payroll in a timely manner for all business units in the Nelson Office. o Submit late timecard requests, as needed. o Process data changes, as needed. o Manage check replacement requests. o Oversee sick paid leave requests. o Manage pay card and direct deposit set up. --- Compliance Audits (All Nelson Branch Business Unit Support); o Consistently audit I9---s and follow up with appropriate individuals to perform corrections, as needed. o Send CA Wage Act --- Assignment Confirmation Notice for all new hires through eRecruit. o Prepare for quarterly corporate audits and maintain scores of 93%. Audits include, but are not limited to; employee folders, I9---s, operational functions within eRecruit, etc. o Understand Recruiting Manager eRecruit functions for purposes of support and auditing. o Run compliance reports weekly as needed and make corrections. --- Worker---s Compensation (All Nelson Branch Business Unit Support); in a timely manner: o Assist injured temp and mod duty worker employees with injury process for the Nelson Branch. o Complete the injury packet (does not include the injury investigation piece). o Provide injury information to Nelson---s Safety and Risk department for processing. o Follow up with clinics for updated work status reports, as they pertain to injured employees. o Facilitate modified duty employee assignments while working in the Nelson Branch. --- Function as building management contact including but not limited to; directly communicating with building management regarding repairs issues and other maintenance items, keeping branch staff abreast of building alerts, etc., --- VMS Management o Responsible for holding all branch VMS tool passwords; reviewing scorecards with branch; reviewing orders and reviewing and updating branch l ---one sheet--- for each client. --- Maintains office cleanliness and organization, i.e. presentable for visitors, candidates, clients, etc. --- Supervise interns on day to day projects, as needed. QUALIFICATIONS: --- A minimum of an AA degree or equivalent industry experience. --- A minimum of 1 year providing operational and administrative support to a team or office. --- Previous staffing industry experience and knowledge of eRecruit is highly desirable. --- Any combination of education, training, or experience that provides the required knowledge, skills, and abilities. --- Ability to delegate and hold others accountable. --- Commitment to excellence and high standards. --- Excellent written and oral communication skills. --- Ability to manage priorities and workflow. --- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. --- Ability to work independently and as a member of various teams and committees. --- Proficient on Microsoft Office Suite specifically Microsoft Word and Excel. --- Acute attention to detail. --- Excellent customer service skills. --- Ability to deal effectively with a variety of individuals at all organizational levels. --- Good judgment with the ability to make timely and sound decisions. --- Creative, flexible, and innovative team player. --- Ability to communicate professionally and effectively in person, on the phone, electronically, or through other means to individuals and groups. --- Adhere to current state and federal document retention standards. --- High standard for confidentiality. PHYSICAL/MENTAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to do the following: --- Accurately complete detailed forms and reports --- Coordinate multiple tasks simultaneously --- Perform some repetitive motion activities --- Sit for long periods of time --- Ability to lift, up to, 20 pounds --- May require travel, by car, to other office sites or meetings WORK ENVIRONMENT: --- Works in an office environment where temperatures are comfortable and noise level is low to moderate.
